Tarzans Class (“we”, “us”) is based in Dunedin, New Zealand, and handles personal information in line with the Privacy Act 2020. This policy explains what we collect through our website and booking system, why, and what rights you have over it.

1. Information We Collect

Account information

When you create a member account: your name, email address, phone number, and password (stored as a secure hash — we never see or store your actual password).

Athlete registration

When you register an athlete (yourself, for online coaching, or a child in your care): athlete name, date of birth, gender, skill level, school (optional), photo consent choice, and — for parkour/holiday-program athletes — parent/guardian name, phone, and email, plus a billing address and an emergency contact name and phone number.

Health & medical information

Via the Medical and Emergency Contact form: any medical conditions, allergies, or other health information relevant to training safely is sensitive information kept under the Privacy Act. We only collect it to keep athletes safe during sessions and only coaching staff who need it for that purpose can see it.

Signed documents

When you sign our Liability Waiver, Behaviour Policy, or Safety Plan: your typed name and digital signature, the date and time you signed, and technical details or recorded solely to verify the signature is authentic if it's ever disputed.

Bookings & payments

Which classes/sessions you book, dates and times, prices, any credit/discount codes used, and invoice records. We don't store full payment card details ourselves — when online card payment is available, it's handled by a payment processor bound by their own security standards; other payments (bank transfer, cash) are recorded by staff once confirmed.

Communications

Messages you send us through the contact form, and messages we send you — booking confirmations, credit codes, and updates about your bookings or the business.

2. Why We Collect It

• To create and manage your account and your athletes' registrations.
• To process bookings, payments, and send confirmations/invoices.
• To keep athletes safe — medical and emergency contact information is used only for that purpose.
• To respond to enquiries sent through the contact form.
• To send booking-related updates, and — only if you've opted in — class updates and announcements.
• To understand overall website usage and improve it.

3. Children's Information

Many of our athletes are under 18. A parent or legal guardian creates the account, registers the athlete, and provides their information — we rely on that parent/guardian's consent to collect and use a minor athlete's information as described in this policy. Parents/guardians can review or update their athlete's information at any time from their account.

4. Sharing Your Information

We never use or share your information with anyone else, unless required by law or in the event of a medical emergency, where we may need to share relevant information (such as medical or emergency contact details) with emergency services or medical professionals to keep an athlete safe.

5. Security & Retention

We take reasonable technical and organisational steps to protect your information. Passwords are hashed, and access to sensitive information (like medical details) is limited to staff who need it. We keep your information for as long as your account is active, and for a reasonable period afterward where needed for accounting, legal, or safety record purposes.

6. Photos & Videos

If you gave photo/video consent at athlete registration, we may use photos or videos of that athlete on our website, social media, or promotional materials. You can withdraw this consent at any time by updating the athlete's registration in your account or by emailing us — we'll stop using new material going forward, though we can't always recall material already shared publicly (e.g. shared or saved by others).

7. Your Rights

Under the Privacy Act 2020, you can ask us what personal information we hold about you and request that it be corrected. To do this, contact us using the details below.

8. Changes to This Policy

We may update this policy from time to time — the “Last updated” date above will change when we do.
